1. Weekdays (Monday through Friday)
i. Application: In consideration of the traffic flow of the Library, if the applicant chooses to apply for permission in person, he/she should first bring the application form to the single window of the Service Desk in the Reading Hall; the application form will then be transferred to the Materials Collection Division or the unit in charge of the area where the material is to be photographed to obtain approval. The responsible unit will send a staff member to receive the photographer(s) on the appointed day. If the switchboard staff or Service Desk staff receives phone calls concerning the status of the application, it will be transferred to the Materials Collection Division or the relevant unit where the decision to approve or reject a given application is made.
ii. Duplication Location: When photographing the Library building, the relevant unit should assign a staff member to accompany the applicant during the photographing session. If the photographed objects are replicas of material from the Library’s collection, depending on the location of the materials to be photographed, upon the approval of the department head of the related division, a library staff member should by designated to accompany the applicant during the photographing session to duplicate the materials indoors or photograph material from the Library’s collection.
2. Holidays (Saturdays and Sundays)
i. Application: The applicant should deliver the application form in advance on a weekday. In certain special cases, when the applicant needs to apply for permission in person, he/she should first bring the application form to the single window at the Service Desk in the Reading Hall; the application form will them be transferred to the staff member on duty at the Materials Collection Division or the relevant unit where the material is to be photographed is to take place for further processing. The supervisor on duty will decide if the application will be approved or not.
ii. Duplication Location: When photographing the Library building, the relevant unit should designate a staff member to accompany the applicant during the photographing session. If the objects to be photographed are replicas of material in the Library’s collection, upon the approval of the supervisor on duty, the photography can be conducted in the designated location.
3. Only applications made by institutional groups may be submitted. Applicants should complete the form and submit it with an official letter to the Library at least three days prior to the photography session, excluding special conditions.
4. If the application form is sent to a branch library, please transfer it to the Central Library.
